Learner Information
Medical Education at Northern Light Health member organizations help schedule and coordinate clinical rotations for various learner types. For a seamless application process, and to ensure that we are compliant with necessary onboarding requirements, please adhere to the procedures as set forth by Medical Education.
If the request is coming from a Learner, the Learner will:
- Communicate rotation requests* (with at least six months’ lead time) with the following information sent to Medical Education:
- Name
- Learner Type
- School Name & Program
- Dates for requested rotation
- Areas acceptable for rotation as it pertains to curriculum
If the request is coming from a School, the School will:
- Communicate rotation requests* (with at least six months’ lead time) with the following information sent to Medical Education:
- School Name & Program
- Dates for requested rotation(s)
- Number of students being requested per rotation type
- Areas acceptable for rotation as it pertains to curriculum
- As they are available (but no later than three months before the rotation starts), share names and email addresses of requested learners
Once the request is received, Medical Education will:
- Seek potential preceptors to secure a rotation on the learner’s behalf*
- Initiate clinical affiliation agreement, if one does not exist, and request certificate of insurance for liability insurance (if not provided by school, must be provided by learner)
- Once preceptor is confirmed, Medical Education sends invitation to learner to begin onboarding process
Once invitation has been received, the Learner will:
- View invitation, fill out application, upload CV, and await approval from Medical Education
- Once approved, the onboarding requirements will load into clinical student management software for student completion
- Complete required onboarding steps on clinical student management software
Please note: School is responsible for uploading the letter of good standing and the background check to clinical student management software (or emailing those documents to Medical Education to upload).
Once all requirements have been received, Medical Education will:
- Reach out to school, learner, practice manager, and preceptor once all required onboarding paperwork has been collected and signature for rotation have been acquired to close the loop and make all aware that the learner is cleared to begin their rotation on the agreed upon date.
Please note: The practice manager/preceptor will be responsible for communicating daily schedule with student.
Learners (even employees of NLH who are learners) can NOT set up their own rotations with NLH preceptors. While we appreciate that employees who are also learners (or even friends/family of employees who are learners) have connections and conversations that can lead to willing preceptors, they must begin that process with Medical Education.
If a learner has a preceptor they have in mind, have spoken to in conversation, or would otherwise like to work with, the proper protocol is for that learner to communicate that request with Medical Education, providing that person’s name and department. Medical Education will reach out to that preceptor/practice manager on the learner’s behalf.
At no time should the school or learner be reaching out to Medical Education to inform us of an already set-up rotation. Doing so will result in a cancelled rotation.
Per the NLH Agreement: Each party will bear its own expenses in participating the in requested rotations. NLH will be compensated for the educational rotations provided specific to NP, PA, and certain 4
th Year Medical Students in the amount of $1,000.00 per rotation. The compensation is due prior to the start of each such rotation. Failure to pay the Rotation Fee prior to the start of the rotation shall cancel the rotation.
*Learners who are also employees of NLH for the duration of the rotation are not required to pay a Rotation Fee.
